Privacy Policy

This policy explains how ProposalPilot collects, uses, stores, and protects data for the web app and Chrome extension.

Limited use disclosure
ProposalPilot uses user data only to provide and improve the product features described in the app and Chrome Web Store listing. We do not sell user data, use it for unrelated advertising, or transfer it except as needed to operate, secure, support, or comply with legal obligations for the service.
Information we collect
  • Account information such as your email address, user ID, plan, workspace settings, and extension token.
  • Campaign settings you create, including Upwork search URLs, filters, proposal templates, relevant work examples, pricing preferences, and submission mode.
  • Job and proposal data needed to run the service, including scraped job details, scores, generated proposal drafts, queued/submitted proposal state, Connects cost, and best-effort proposal analytics such as viewed or replied status when available.
  • Extension runtime status such as whether the extension is enabled, latest heartbeat time, queue count, last/next scan timing, and sync errors. The extension token is not included in runtime-state payloads.
  • Operational logs and security events used to keep the service reliable, debug failures, prevent abuse, and measure product performance.
How we use information
  • To authenticate your account and connect your Chrome extension to your ProposalPilot workspace.
  • To scrape and score jobs from the Upwork pages you configure, prepare proposal drafts, queue submissions, and report the final result back to your dashboard.
  • To show dashboard analytics such as jobs found, proposals submitted, views, replies, Connects spend, and reply rates.
  • To troubleshoot extension, backend, queue, and submission issues.
  • To enforce plan limits, prevent abuse, and protect the service.
Chrome extension data handling
  • The Chrome extension runs in your browser and uses your existing Upwork session. It does not ask for or store your Upwork password.
  • The extension may read Upwork page content, Upwork job data, proposal application pages, Connects balance, and Upwork proposal analytics needed to provide the product features you enable.
  • The extension sends required job, proposal, status, and analytics data to ProposalPilot over HTTPS using your workspace extension token.
  • The extension stores local settings and queue state in Chrome storage so it can continue scheduled work reliably.
  • ProposalPilot is not affiliated with, endorsed by, or sponsored by Upwork. Upwork is a trademark of Upwork Inc.
Sharing and third parties
  • We do not sell your personal data.
  • We use infrastructure providers such as Supabase, Vercel, DigitalOcean, and AI/model providers to host, secure, process, and operate ProposalPilot.
  • We share data with those providers only as needed to provide the service, maintain security, process AI scoring/proposal features, or comply with legal obligations.
  • You are responsible for reviewing and complying with Upwork's rules and any other third-party platform rules when using ProposalPilot.
Access, deletion, and retention
  • You can request access, correction, or deletion of your account data by contacting us.
  • We retain account, campaign, job, proposal, analytics, and operational records while your account is active or as needed for security, debugging, legal compliance, and abuse prevention.
  • Some aggregated or operational records may be retained after deletion when they no longer identify you or when retention is required to protect the service.
Security
Data transmitted between the extension, dashboard, backend, and infrastructure providers is sent over HTTPS. Keep your ProposalPilot account, browser profile, and Upwork account secure, and rotate your extension token if you believe it has been exposed.
